Personal Data and the Dorset Geologists’ Association Group

An individual’s confidentiality is protected by the Data Protection Act and, from 25th May 2018, the General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) and the Privacy and Electronic Communications Regulations 2016 (PECR). Personal information supplied by members to the DGAG will be kept on file and stored securely. This data will be deleted once it is no longer relevant.

Personal Data

Membership data includes title, name, address, post-code, telephone number (optional), on-line e-mail address (optional). This information is required to provide the service that is expected by a DGAG member. This data will be stored securely.

Accessibility

The DGAG will allow members’ information to be used only by others working on their behalf. This usually will include the Treasurer, Secretary, Newsletter Editor and field trip Officer. The DGAG will not share members’ information with companies or charities for marketing purposes.

Members have the right to access a copy of the information the DGAG holds about them from the DGAG Secretary.

Members have a right to object to the ICO (Information Commissioners Office) if they feel that the DGAG is not handling their data in a satisfactory manner.

Communication

The DGAG will ask members to provide their formal consent to receive their communications either electronically or by hard copy through the post.

We will use a member’s personal data to send:

  1. DGAG Newsletter – for hard copies, postal addresses are sent to the printer for the address labels, for each issue. The Newsletter Editor will send an electronic link to those who receive the Newsletter by e-mail.
  2. Monthly DGAG updates and Fieldwork/Other Events (optional) sent electronically by e-mail by the Secretary and Field Trip Officer respectively. These e-mails will not show recipients e-mail addresses
  3. Subscription information will be available electronically or by post. Members will be informed (by e-mail or post) when there is a change in subscription rates.

The DGAG uses cookies on its website and the same privacy protection outlined above applies to the website. Cookies are used to store one’s session data. When members visit the DGAG website, certain information is collected that does not identify them personally, but provides the DGAG with “usage data” such as the number of visitors or what pages are visited most often.
